WEBSITE & GARDENER REGISTRATION PRIVACY NOTICE
Last updated: 12 October 2026
1. Who we are
GardenGo Ltd (“GardenGo”, “we”, “us”) is responsible for the personal information described in this notice.
For privacy questions, requests or complaints, email admin@gardengo.co.uk.
This notice covers our website and gardener registration enquiries. Customer information processed through the GardenGo app is covered by our separate customer privacy policy.
2. Information we collect
When you register your interest, we collect the information you provide, including:
• Name, email address and telephone number.
• Working area, business name and services offered.
• Public liability insurance status.
• Experience working as an independent gardener.
• Intended use of GardenGo and any marketplace availability supplied.
• Business website, social-media or work-example links, or your explanation of alternative evidence.
• Preferred callback time and your request to be contacted.
We may also keep relevant correspondence and notes from recruitment discussions. If we review business pages or work examples you supply, we may record information relevant to assessing your application.
Please avoid submitting customer contact details or unrelated sensitive personal information in work examples.
3. Why we use your information and our lawful bases
Responding to your request and arranging onboarding:
Where you are personally seeking to enter an agreement with GardenGo, we process information necessary to take steps at your request before entering that agreement, under Article 6(1)(b) of the UK GDPR.
Assessing and administering registrations:
We rely on legitimate interests under Article 6(1)(f) to assess relevant experience, services and work examples, manage recruitment enquiries and communicate with people representing businesses. Our interests are selecting suitable gardeners, supporting service quality and operating an orderly recruitment process.
We limit these activities to relevant information and consider their impact on applicants. We do not use unrelated personal social-media information to assess applications.
We do not treat your registration or callback request as permission to send unrelated marketing.
4. Who receives your information
Access to recruitment information is limited to authorised people who need it for recruitment and administration.
We use:
• Framer to host the website and receive form submissions.
• Google Workspace, including Google Sheets, to manage recruitment records.
• Our business email service to receive enquiries and communicate with applicants.
These providers process information as needed to deliver their services. We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.
We do not sell your registration information.
5. International processing
Our website and business-service providers may process information outside the United Kingdom.
Framer’s published data-processing terms provide for contractual safeguards, including the UK Addendum to the European Commission’s Standard Contractual Clauses where applicable.
Google describes international processing under mechanisms including applicable adequacy arrangements, the UK Extension to the EU–US Data Privacy Framework and contractual safeguards, depending on the transfer.
You can contact admin@gardengo.co.uk for further information about the arrangements relevant to your information and how to obtain details of applicable safeguards.
6. How long we keep information
We retain registration information while your enquiry or application is active.
When deciding whether it is still needed, we consider whether discussions are ongoing, whether onboarding is proceeding and whether an outstanding query, dispute or legal obligation requires retention.
We review recruitment records regularly and delete information that is no longer required, including unnecessary copies in email and spreadsheets.
If you join GardenGo, information needed to manage your gardener account will be used and retained for that separate purpose, with the relevant privacy information provided during onboarding.
7. Website analytics
We use Framer’s built-in analytics to understand website usage, including visits, page views and interactions.
Framer states that this analytics service does not use cookies or persistent identifiers. It uses an IP address and browser user-agent information with a daily-changing hashing process to calculate daily unique visitors.
This description applies to Framer’s built-in analytics, not automatically to every third-party service or feature that may appear on the website.
8. Protecting your information
We restrict access to recruitment records to authorised users and use the security controls provided by our business services. No online service can guarantee absolute security.
9. Your rights
Depending on the circumstances, you may have rights to access, correct or delete your information, restrict its use or receive a portable copy.
Your right to object:
You can object to processing based on legitimate interests. We will consider your objection and stop that processing unless we have an overriding lawful reason to continue.
Where processing relies on consent, you can withdraw it at any time without affecting the lawfulness of earlier processing.
To make a request or ask us to stop contacting you about your registration, email admin@gardengo.co.uk. We may need to confirm your identity before responding.
Providing registration information is voluntary. If information necessary to assess or respond to your application is missing, we may be unable to proceed. Optional fields are identified in the form.
10. Questions and complaints
Please contact admin@gardengo.co.uk if you have concerns about how we handle your information.
You also have the right to complain to the Information Commissioner’s Office:
